Account Space Management

UT Southwestern implemented software-based account size limits for GroupWise users in late 2002 and early 2003.


The policy for UT Southwestern GroupWise accounts is a size limit of 100MB. Software account limits are in place and enforcement consists of not allowing the oversized account to send mail.

Important Note: Incoming emails will NEVER be blocked due to an account being overlimit. Overlimit accounts will continue to accept new incoming mail, but will not be able to send outgoing messages.

Account Size Limits DO NOT affect archived messages, only email that resides on the server.


Purchase of Additional Email Space

  • Additional GroupWise space is available to Faculty and Staff. This option is not available to students.
  • Each GroupWise account is set up with 100MB of free space.
  • GroupWise space is $2.50 per each 50MB block of additional space, up to a total mailbox size of 500MB (400MB plus the original 100MB).
Example:
  • 150MB would be 100MB free + 50MB additional (or 1 block x 2.50) = $2.50 monthly

Groupwise for Windows

All UT Southwestern employees have 100MB of personal email space. All students have 50MB of personal email space. As that limit is approached, the GroupWise email wizard will popup and let you know:

If you continue to ignore these warnings or select "Cleanup", you will ultimately receive the following screen:

File sizes are listed in bytes, with the first file showing a 32 MB attachment. You may choose to periodically manage your email account on your own by choosing ‘Tools/Check Mailbox size’ from the GroupWise menu.

You can always keep track of your current usage by watching the Mailbox Size field that is displayed on the bottom portion of the Groupwise Client. If you click on this field, you will get the Mailbox Cleanup Wizard screen which will enable you to archive or delete your messages.

Groupwise Web Access

If you log into Groupwise Web Access and your email account is oversize, you will receive a pop-up message at login.


Should you select OK but fail to delete & empty items from trash, you will get the following popup message when you try to open a new compose window.

Note that there is no wizard to sort items by size as in the GW client for Windows. To cleanup your email space - Delete large items, then delete them from the Trash folder and click the Update button at the top of the menu (see picture below). In Webaccess, deleting items sends them to the Trash folder, so account size is not reduced until Trash is emptied and the Update button is clicked.

Groupwise for Macintosh

The Macintosh client is not affected by account size limits at this time. However, the IS Development group will continue to monitor accounts that exceed the 100MB size limit and will contact you either by phone or email.

Groupwise for POP/IMAP

POP/IMAP clients are not affected by account size limits at this time. However, the IS Development group will continue to monitor accounts that exceed the 100MB size limit and will contact you either by phone or email.

Most POP clients have the option to keep a copy of the message on the server. This is useful if you need to access your email from multiple workstations. However, you should set your pop client to delete mail after xx days to avoid having to log into the full or web access client to remove items should your account grow larger than the 100MB limit.
